Step 1 Make Lists

Start by breaking down exactly what needs to be said into a simple list to clarify your thoughts and put in order what you need to say.

Always imagine that you’re talking to someone who knows nothing about your industry.  Don’t be tempted to use industry terminology (unless you’re talking to your trade press in which case it may be appropriate).

Step 2 Don’t Be Emotional

Keep emotion out of it at this stage. You may be passionate about the new widget, but describing the exciting new flanges on your widget can miss the key benefits to the customer.

Give enough information and emotion to hook the member of the media without scaring them off or boring them witless. Tread carefully!

Step 3 Speak to the Right People

Locate exactly the right person. Is it really their topic of interest?  Is there someone more suited to your subject?

Information is freely available on the internet so do take time to locate them by name, and make sure you know the difference between a feature and a news story.

Step 4 Don’t write a press release

Yes, you did read that right.  Before you bother writing a press release are they interested?  Compose a short email giving the headline facts, figures, successes and email it in. Then, follow it up!

Members of the media get hundreds if not thousands of emails so call them and don’t be put off by answer machines and a request to resend the information through.  Go for it!  You’ll be surprised how successful you are just by being one of the very, very few who follow up

Step 5 Get information and pictures ready

IF they are interested they might interview you by phone so you don’t need to write a thing, or they will ask you to write a piece of perhaps 300 or 450 words and supply a photo.

Stick firmly to the word count they give you. This is the amount of space they have allocated for your story and have a professional photo ready and not one you’ve taken on your iPhone.

Step 6 Make coffee and relax…

Sit back and wait for it to be published. Then repeat the above steps for the next campaign message.
